The organized event wizardBeta
The six steps of creating an organized event: what and when, where it starts, routes, the description and media, who can join, and review, plus drafts and Save and exit. Beta.
Last checked against the live app on 3 September 2026.
Everything you build in the wizard is a private draft until you publish it.
Build a full event on the What are you planning? screen opens the wizard, and because an event belongs to an Organizer account, you need one first. The wizard runs to six steps, and step 6 is the review, so you can leave a step half-finished and come back to it.
The bars at the top and the bottom#
The top bar does not change from step to step, so the same three things stay in front of you the whole way through.
| Control | What it does |
|---|---|
| Save and exit | Saves the draft, then closes the wizard. |
| Step N of 6 | Names the step you are on. |
| Draft pill | Marks the event as not yet published. |
One line sits under the step bar on every step, so the point is never off screen: Your event stays a private draft until you publish it from the dashboard.
The bottom row is the same on every step.
- Back moves one step back, and nothing you typed is cleared, so you can check an earlier answer without losing the one you are on.
- On step 1 that corner reads Cancel instead, because there is no draft yet to go back to. Cancel closes the wizard and creates no draft.
- Next saves the whole event before it opens the next step.
- On step 6, Next is replaced by Save and open dashboard.
Every press of Next saves, which means your work is never held back until the end and a closed laptop costs you no more than the step you were typing.
A step that cannot save#
Next can fail to save, and a message then begins Could not save this step. so you are told rather than left guessing.
- The wizard stays on the step you were on. It does not advance.
- Everything you typed is still on screen, because a failed save clears nothing.
- Press Next again.
1. What and when#
The screen says what it wants: Name it, say what kind of riding, set the dates.
- Type the event name.
- Pick a riding chip, or type your own kind. The chips are Adventure Ride, Dual Sport, Enduro, Rally and Training.
- Set the start date, end date, start time and end time.
- Fill in Where do riders sign up? (optional) when sign-ups run on your own site.
INVIA does not take the sign-ups, so that box points riders at your own page rather than replacing it: Registration stays on your site. INVIA shows a Register button that sends riders there.
Press Next and INVIA creates the draft at that moment, which is what gives every later step somewhere to save to.
- The event now exists as a draft in your events list.
- The Draft pill stays in the top bar, because publishing is a separate decision you make later from the dashboard. No rider can see the event yet.
- Step 2 opens.
The name is the one field you cannot skip#
Next with the name box empty stops the wizard, because a nameless draft is one you cannot pick out of your events list later.
- A message reads Give your event a name.
- The wizard returns to step 1, and everything you typed is still on screen.
- Type a name and press Next again.
2. Where does it start?#
Optional. INVIA takes the start location from the map rather than from a text box, so you never type coordinates and never mistype them.
- Type an address or a place in the search box.
- Press Search. The map moves to the address and drops a pin.
- Drag the pin to the exact spot. Or click the map to move the pin there.
The line under the map reports the pin, so you can tell a placed pin from an empty step without zooming around to look for it.
- With no pin, it reads Search an address, or click the map to drop a pin.
- With a pin, it names the place and adds Drag the pin to fine-tune.
Skipping this step is allowed, and step 6 then lists Start location as Not set, which you can fill in later from the dashboard.
A search that finds nothing#
A place INVIA cannot resolve gets a message: Couldn't find that address. Try a nearby place, or drop the pin on the map.
- The map does not move. A pin you already placed is still there.
- The search box keeps the text you typed, so you can correct a spelling rather than retype the whole address.
- Click the map to place the pin by hand, or search a nearby place.
3. Add your routes#
Optional. Attach the route collections riders receive when they join, so nobody has to chase you for files the night before.
- Click a collection in the list. A green check appears and the row turns white.
- Click the same row again to detach it.
A count line appears once one collection is attached: N attached. Riders get these when they join. The number counts the collections you attached, not the routes inside them, so a collection adds one to the count however many routes are inside it.
Skipping this step is allowed, and step 6 then lists Routes as Not set.
You have no collections yet#
With no collections of your own, the step shows a panel instead of a list: You have no route collections yet.
- No rows appear, because there is nothing to attach.
- The rest of the wizard works as normal. Press Next.
- Build routes on the map, group them into a collection, then attach them here or from the dashboard.
An attach or detach that fails#
A failed attach or detach shows Could not update routes. Try again.
- The step stays open, and nothing else in the wizard changes, so the answers you already gave are safe.
- Click the row again.
- Check the count line reads the number of collections you expect, because that line is how you tell an attach that worked from one that did not.
4. Tell riders about it#
Optional. This step holds the description, the cover photo, the flyer and your logo, which are what a rider looks at before deciding to come. Skipping it is allowed, and step 6 then lists Description and photos as Not set.
Description#
Type the description in the editor. Or type rough facts and press WRITE IT WITH AI, which turns your notes into something you can hand straight to riders.
- The button reads WRITING… while it runs.
- The editor fills with the written version.
- A message reads Drafted from your notes. Edit anything.
- Edit the result. It is ordinary text in the editor.
WRITE IT WITH AI is grey until the draft exists, because it needs a saved event to write about. It becomes available after your first press of Next on step 1.
The writing assist can be unavailable, and a message then reads The writing assist is not available right now.
- The editor still holds exactly what you typed. Nothing is overwritten.
- Every other field on the step still works.
- Write the description yourself, or press the button again later.
Cover photo#
- Drag a photo onto the cover box, or click the box to choose a file. The box reads Drag a photo here, or click to choose one.
- Crop the photo to the 16:9 banner in the cropper that opens.
- The cropped photo uploads and fills the box.
The cover photo also becomes your email and social images, so one good photo does the work of three.
A photo under 1200 by 675 pixels is a warning rather than a block, because a small photo still serves your event page better than no photo at all.
- A message names the pixel size of your photo and recommends at least 1600 by 900.
- The upload goes ahead. The cropper opens as normal.
- Use a larger photo for a sharp banner, or keep the one you have.
Press the remove button in the top right corner of the photo to take it off.
- The box goes back to being a drop target. No cover photo is attached.
- Everything else on the step is untouched.
- Add another photo here whenever you want one.
Uploading a second cover photo replaces the first one, so you swap a banner by adding the new photo rather than removing the old one first.
- The new photo fills the box.
- The old file is deleted from storage, and every other field on the step is unchanged.
- Nothing is required of you.
Flyer and logo#
Flyer or poster (optional) takes your own artwork, and Organizer logo (optional) takes your club or brand mark.
- Both upload whole, and neither opens the cropper, because your artwork is already the shape you drew it.
- The flyer is shown whole on the event page, in any shape.
- Remove either one with the button in its top right corner. The box goes back to being a drop target.
An upload that fails shows a message beginning Upload failed.
- The box stays a drop target. No file is attached.
- Everything else you entered on the step is still there.
- Try the upload again.
5. Who can join?#
Three choices decide who may join, and Anyone with the invite is selected when the wizard opens.
| Choice | Who can join |
|---|---|
| Open to everyone | Anyone who finds the event in INVIA. |
| Anyone with the invite | Anyone holding the link or the 6-letter code. |
| My email list only | Only riders whose email you add. You add the list under Riders |
This step does not create the link or the code, so there is nothing here for you to generate or copy: Every event gets a share link and a 6-letter code automatically. This only decides who may use them.
The choice is not final, which means you can open an invite-only event up once riders start asking: You can change this any time, even after publishing.
6. Review and save#
Step 6 gathers what you have entered so far, so you can see what is still missing rather than clicking through screens you have already filled in. Reopening a draft from your events list lands on this step, not on step 1.
Five rows sit here, one per earlier step: Name and dates, Start location, Routes, Description and photos, and Who can join.
- A row you filled in shows a green check and the value.
- A step you skipped shows Not set. Nothing is wrong with the event. It is a saved draft either way.
- Press Edit on a row to jump straight to that step.
Press Save and open dashboard to finish.
- The wizard closes and your dashboard opens.
- The event is still a draft, so only you can see it until you publish.
- Add riders, build the invites and the share kit, and fill in anything still Not set. Publish from the dashboard.
Save and exit and drafts#
Save and exit sits in the top left corner of every step, and it saves before it closes, so leaving the wizard is never a way to lose work.
- A message reads Saved as a draft. Finish it any time from your events list.
- The draft is in your events list. Nothing you entered is lost.
- Reopen the draft from that list, and the wizard opens on step 6.
Save and exit before you have typed a name closes the wizard without creating a draft, because there is no named event yet to save.
- Your events list is unchanged. No new draft appears.
- A draft you had already saved is left exactly as it was last saved.
- Type a name first when you want to keep the work.
