How riders join an event by link, six-letter code or Discover, the release of liability, approval states, and what the participant page shows: routes by day, who's going, documents, updates. Beta.

Joining an event gives you the organizer's routes, the rider list, the documents and the updates on one page.
Three ways lead in, and each one ends at the same release of liability, because the organizer's terms come before access.
Ways in#
Organizers hand out events differently, so take whichever way in you were given.
- The event link,
inviagps.com/event/…, from the organizer. - Join with code on the Events page. Enter the 6-CHAR CODE.
- Join event on Discover, for public events.
The event code#
INVIA sets the code when the event is created and the organizer reads it rather than chooses it, so the code you were given is the only one that event ever has. The code is six characters, and the letters and digits that look alike are left out, so reading one off a poster or over the phone does not leave you guessing.
Where the organizer reads it off:
- The read-only EVENT CODE field under Registration in the event's settings, which carries a copy button.
- The Join code card on the Share tab, printed large next to the QR code.
How long it lasts:
- It works from the moment the organizer publishes the event, and it keeps working while the event runs and after it has finished, so a code handed out weeks early still works.
- It does not work while the event is still a draft, and it stops working once the organizer archives or deletes the event.
Signed out#
INVIA asks you to sign in before it joins you, because a roster place belongs to your account rather than to the browser you are reading in.
What you see when you press Join event while signed out:
- The page says Sign in to join this event.
What still works:
- The event is still listed on Discover, so you do not lose your place in the list.
- The event link still opens, which means you can sign in and press Join event again on the same page.
What to do:
- Sign in to INVIA.
- Press Join event again.
The release#
Every join shows the event's Release of Liability & Terms first, because the organizer needs your acceptance on record before the event opens to you. You do not join until you accept it.
- Read the release.
- Accept the release, and the join runs.
What the join returns#
One message follows the join, and it tells you whether you are in or waiting, so you know whether to look for the routes now or later.

After a successful join the event appears in the Joined tab, so you can return to it from the Events page rather than hunting for the link again.
Waiting for approval#
Some organizers read every request before letting a rider in, so a request can stay open for a while.
What you see while the request is open:
- The status line reads Request pending, awaiting organizer approval.
- The event is in the Joined tab with your status.
What still works:
- You are on the roster as pending, which means the organizer already has your request and you do not need to send it again.
- Every other event you joined is unchanged.
What to do:
- Wait for the organizer, who approves riders from the event dashboard.
When the join fails#
A join fails for one of two reasons, and the message names which: This event is invite-only and your email is not on the roster., or No event found for that code.
What you see:
- You are not in the event.
- The Events page still carries Join with code, so the code is one press away from a second try.
What still works:
- Your INVIA account is unchanged.
- Every event you already joined is unchanged.
What to do:
- Check the 6-character code with the organizer, then enter it again.
- Ask the organizer to add your INVIA email address to the event's email access list, because an invite-only event opens only to the addresses the organizer listed.
When the request is not approved#
A request the organizer turns down ends there, because approval is the organizer's decision and INVIA does not overrule it. You cannot send a second request, so asking the organizer is the only way back in.
What you see:
- The status line reads Your request to join wasn't approved.
- There is no Join event button on the status row, where an event you have not joined carries one.
- Entering the code again on Join with code answers Could not join event., because it does not raise a fresh request.
What still works:
- Your INVIA account is unchanged.
- Every other event you joined is unchanged.
What to do:
- Ask the organizer to approve you.
The Events page#
The Events page holds three tabs, which keep what is open to everyone apart from what is already yours.

The participant page#
The participant page is one scrolling column, ordered the way you need it on the morning of a ride. Top to bottom:
- The banner.
- Your status.
- The live sharing section, when the organizer has tracking on.
- About and the flyer.
- Event Routes (N), grouped by day.
- Who's Going (N).
- Documents (N).
- Updates.
- Share.
Your status#
The status line sits under the banner, so where you stand with the organizer is the first thing you read.

Event routes#
Event Routes (N) groups the routes by day, so a multi-day event reads as the days you will ride rather than as one long list. Each route carries up to three controls.

No Download GPX on the route#
The organizer sets who can download the route files, so a route can arrive with two controls where another event gives you three.
What you see:
- Download GPX is not on the route.
What still works:
- Import to Library and Send to Device are still on the route, which means you can still take the route with you.
- You can still view the route on the event page.
What to do:
- Press Import to Library, and the route is then in your INVIA library.
- Or press Send to Device with a Garmin connected.
- Or ask the organizer to allow downloads.
No Garmin connected#
Send to Device needs a connected Garmin, because it writes the route to the Garmin itself rather than into your library.
What you see:
- The route is still listed under Event Routes (N).
What still works:
- Import to Library copies the route into your INVIA library.
- Download GPX, when the organizer allows it.
What to do:
- Connect the Garmin to your browser. Connect a Garmin.
- Press Send to Device again.
Riders, documents and updates#
- Who's Going (N) lists the riders.
- Documents (N) lists the organizer's files, each with View and Download, so you can read a file on the page or keep your own copy.
- Updates lists the organizer's posts.
Live sharing#
The live sharing section appears when the organizer has tracking on, so whether you see it depends on the organizer rather than on anything in your account.
What you see when the organizer has tracking off:
- The live sharing section is not on the page.
What still works:
- The routes, Who's Going (N), Documents (N) and Updates are all on the page.
- Your status line is unchanged.
What to do:
- Ask the organizer to turn tracking on. Live tracking.
Registration and payment#
INVIA takes no payments, so registration stays on the organizer's own site and joining the event in INVIA is a second, separate step.
When the organizer set a registration link, the page carries two controls, one for each half of that split.
